Drafts page

The Drafts page displays a list of workflows that the user under the Workflow Designer role is working on.

The Drafts page contains: the Workflow column, the Published Version column, the Original Author column, the Workflow Owner column, the Date Created column, the Date Modified column, the Description column, and the Create Workflow button.

Each row is highlighted when selected.

In the upper right corner there is a search bar(1):
The search is performed by the first characters entered. The search bar contains the text you are searching for:

Each workflow name has a link associated with it, by clicking on which the user is taken to 11.9 Workflow Scheme Editor with the selected workflow.

  • Filter to customize the columns to be displayed in the workflow table

  • Available values in the dropdown list are the names of all columns in the table

Table with the list of workflows. Objects in the table are arranged by creation date - the most recently created/copied workflows are added to the top of the table

Visible if there is at least one workflow available to the user in the current tenant. You can see more details here: Interface description of the Drafts table

  1. Table fields are set up by ticking the checkbox.
  2. The user in the columns setting removes the check mark of the columns that should be hidden or displayed. The user clicks the Apply button.

  3. The system displays the updated table, hiding or displaying the columns that have been unchecked or, on the contrary, marked. The system displays this view of the table only to the current user.

  4. The user clicks the Refresh page in browser button.

  5. The system reflects the same setting from point 2.

  6. You can uncheck all selected columns except the main one.

  7. The system displays the updated table with one main column.

  8. After each setting change, the User must click the Apply button.

  • The version of the linked published workflow is displayed
  • The version contains a link to the linked published workflow, clicking on which takes the user to the page where the published workflow is viewed in read mode
  • If the version of the linked published workflow has been deleted, the link is removed and the version is displayed with a crossed out line, when hovered over, a pop-up line is displayed with the text:
    "The published version of the workflow has been deleted."
  •  If the version of the linked published workflow has been moved to the Deleted section, the link is removed and the version is displayed with a crossed out line, a popup line is displayed when hovering over it with the text:
    "The published version of the workflow has been moved to the Deleted section."
  • If a workflow has been created, the New status is displayed until it is published

  • Name of the workflow author/publisher
  • When publishing, the author's name is updated to the publisher's name in the Drafts and Published sections

  • Name of the workflow owner
  • The selected names are specified in a string, characters that do No.t fit in the field size are hidden behind an ellipsis
  • If you hover over a line with the names that do No.t fit in the field size, a pop-up line with all the field contents is displayed
  • Users added to the field can control the workflow (start, stop) and user tasks

Date of creation (9)

Date/time when the workflow was created/copied

  • Date/time of the last change in the workflow
  • The first value is created at the same time as the workflow is created or copied, and the creation date is the same as the change date

The Number of workflows on page line shows how many rows with the name of workflows will be displayed on the page25

All items are always displayed in the process table.

Sorting is performed on all columns of the table.

Action menu

On the right side of the table on each row is the action menu, which contains the following buttons:

Publish button 

When you click on the Publish button (12) for an unpublished workflow, the Publication of the workflow modal window opens, which contains:

1.Workflow

The name of the workflow with a No.te that it must be filled in.

The dropdown list includes all published workflows available to the user.

The field has the ability to search for a workflow when text is entered in the field.

If the user changes the name on a previously published screen form, it will be considered new.

If the entered name does No.t have a published version, the workflow will have 1 version when published.

2.No.te to the user

No.te to the user with text:

"New version of the existing workflow will be published. Once published, the version of the workflow under "Drafts" will be updated."

3.Version changes

The input field contains the text: "Description of workflow version change"

When copying a workflow, the description from the published version is added to the copy, the Version changes field is cleared

4.Group

Field for selecting the group to which the workflow is published. Users who have access to the group will also have access to the workflow

By default, the field is empty.

The dropdown list includes only those groups that are available to the user.

Only one group selection is available.

When a group is selected from the list, a button to clear the field is added to the field.

Next to the field there is a question mark  icon. The following text appears in the icon's dropdown box:

 "Group to which the workflow is being published. Users who have access to the group will also have access to the workflow."

5.Workflow owner

Field for selecting users who have the ability to manage the workflow (start, stop) and user tasks, with a No.te about mandatory filling out

Several users can be selected.

The workflow user has the right to start and stop the workflow.

The search is performed by the user's full name.

The case is No.t taken into account.

Search by part of the name is available: the entered text can be in any part of the full name.

When adding a full name, a tag with a delete button is added to the field, the selected format is displayed with a check mark in the dropdown list.

When a format is added to the field, a button to clear the entire field appears.

Next to the field there is a question mark icon. The following text appears in the pop-up window:

"Users added to the field have the ability to manage the workflow (start, stop) and user tasks."

  • When clicked, the workflow is published: 
    • As a new workflow with version 1.
    • To parent branch. The version is updated to the last one ever published to this workflow branch, a 1 is added to the version, and the workflow version is updated in the Drafts section.
    • To any branch. The version is updated to the last one ever published to that workflow branch, a 1 is added to the version, and the version and workflow name are updated in the Drafts section.
  • When clicked, the changes made are saved, and the workflow name and version are also updated on the Drafts page.
  • A system No.tification is displayed:
    "<Workflow version number> workflow version <Workflow name> has been successfully published."
  • If a user publishes a workflow with the name of a branch of workflows located in the Deleted section, an error is displayed.

Once published, the workflow goes to the Published tab and disappears from the Drafts tab.

Edit button 

Clicking on the Edit button (13) opens the Workflow parameters modal window, which contains:

Unique name of the workflow with a No.te that it must be filled in.

When the value is changed, the system checks the workflow name and version for uniqueness - it compares it with existing names and versions in the Drafts, Published and Deleted sections.

2.Version changes

Used to describe all changes made to the workflow. 

The input field contains the text: "Description of workflow version change"

3.Description

Used to describe the workflow.

4.

Cancel button

To exit the workflow editing mode. If you click on it, the modal window closes and the changes are No.t saved.

5.

Save button

To confirm the editing of the workflow. If you click on it, the changes made are saved.
A system No.tification is displayed:
"Workflow <Workflow name> has been successfully updated."

Delete button 

By clicking on the Delete button (14) the workflow is moved to the Deleted tab.

The Cancel and Delete buttons are used to cancel the deletion of a new workflow or to confirm the deletion, respectively:


Page numbering (15)

Below the table on the right side there is a page numbering and a dropdown list, by means of which the User can select the number of displayed rows, for example, 50 and after that the possibility of vertical scrolling of the page will appear:

Workflow creation

In order to create a workflow you should click on the Create workflow button:

By clicking the Create workflow button, the Workflow creation modal window opens:

It is necessary to fill in the fields of the modal window according to their purpose.

1.Name

A unique workflow name with a note that it must be filled in

When creating a new workflow it is necessary to specify its name

When changing the value, the system checks the workflow name and version for uniqueness - it compares it with existing names and versions in the Drafts, Published and Deleted sections.

2.DescriptionUsed to describe a workflow. Input field for workflow description with the text inside "What task the workflow accomplishes". The maximum length of the text is 500 characters
3.Cancel button

To cancel the creation of a new workflow. If you click on it, the modal window closes and the changes are not saved

4.Create buttonTo confirm the creation of a new workflow. The Workflow creation modal window closes as soon as you click on it,
the record with the created workflow is added to the table with the New label, the workspace of the created workflow is opened.

When you click on the Create button, the uniqueness of the selected workflow name is checked.

If the workflow with this name does not exist, the selected (empty) workflow will be displayed in the Drafts tab:

If a workflow with this name already exists, a notification pops up in the lower right corner with a fail-safe diagnosis that a workflow with this name exists, and no new workflow is created:

If the uniqueness check of the selected workflow name is successful, a new workflow is created.
